My Week provides you with an overview of the current status and further details of all work and tasks assigned to you. You can then organize those items into a manageable action plan outlining exactly what you need to do. In this article, you'll learn more about the anatomy of My Week and your Colleague's Week!

Access My Week
Go to the main menu in Karbon and click on "My Week."
Understand the My Week Buckets
The items that you are responsible for can be organized by the following buckets:
This Week
'This Week' shows you the items that are planned for the given week. You can see which items you're working on now or any work items, emails and notes that you plan to work on for that week.
All work is categorized by the status or sub-status starting from completed to planned. Whereas notes and emails are categorized from last added to first added.
Working on Now
'Working on Now' is intended to indicate any items that are your biggest priority and focus. You can move those high-priority items in your 'This Week' bucket into your 'Working on Now' by simply dragging and dropping it in.
When an item is moved into 'Working on Now', this will indicate to your team that you're working on that item. You will also be able to see any team members who are also working on it.
If you complete part of the work and need to complete other parts of the work later, you can move it out of 'Working on Now' to either sit in 'This Week' and into a different week bucket.
Please keep in mind, Any time entry no matter what the status of the work is, will move this work item/task into Working on Now.
Filtering items
As your list grows, to quickly identify the items that you would like to look at or work on, you can use the filters available to view the specific items that you need.
The filtering options available will be:
Status
Due Date
Start Date
Work Type
Please keep in mind, the filtering options for the four filters above will vary based on the items present.
If you find that your filter list is too long to see in one screen, you can scroll to the right to see more.
Work Card
Each item in My Week is presented as a work card, providing a quick overview of key information:
Work Item Name: The title of the specific work.
Client: The associated client.
Tasks: Displays the number of tasks assigned to you or "No Tasks Assigned" if you are the assignee but have no tasks.
Due Date: The deadline for the work item.
Overdue Indicator: Highlights if the work or any associated tasks are past their due date.
Budget Progress: Shows a visual representation of the budget used and the remaining time (if applicable).
Status Messages: The work card may also display specific messages based on the work item's state:
[x number] Tasks: Indicates the number of tasks assigned to you.
No Tasks Assigned: Shown when you are the work assignee but have no tasks.
All Your Tasks Have Been Reassigned: Alerts you that your tasks have been reassigned, prompting you to 'Move to Cleared'.
Work is Complete: Indicates the work item is finished, prompting you to 'Move to Cleared'.
Tasks Awaiting Automator Assignment: Notifies you that tasks will be automatically assigned in the future.
For more detailed information, click on the work card to open the work overlay.
The work overlay provides a comprehensive summary of the selected work item, including:
Assignee: The person responsible for the work item.
Current Status: The current stage of the work.
Start Date: The date the work was initiated.
Due Date: The deadline for the work item.
Pinned Notes: Important notes related to the work item.
Last Completed Task: The most recently finished task within the work item.
Budget Usage: A visual progress bar indicating budget consumption (hover for specific details).
Your Tasks: A list of tasks assigned to you within the work item.
Next Tasks (for the work assignee): The upcoming tasks for the person responsible for the work.
From the work overlay, you can:
Click through to view the complete work item details.
Click on an individual task to see its expanded view within the work item.
Search
This in-page search will help reduce your work list within My Week. This search will include the ability to search by client name, work item name, email name, and note name.
Please keep in mind, if you have more than 100 items, the search will not include items on your next page.
Next Week
The 'Next Week' bucket displays all items scheduled to automatically move into your 'This Week' bucket at the start of the following week.
For example, any Work Items in 'Next Week' will appear in your 'This Week' bucket when you log in on Monday morning. Any Work Items left in 'This Week' will remain until you move them to another bucket, such as 'Cleared'.
This view provides a quick overview of your responsibilities for the upcoming week, allowing you to prepare in advance. Similar to the 'This Week' bucket, you can also utilize the available filters to find specific items you need to review.
If you need to adjust the schedule, you can easily move items out of the 'Next Week' view by dragging and dropping them into a different bucket (e.g., 'This Week', 'Later', or 'To Plan').
Later
When you are assigned an item that you know you won't be ready to work on in the week you're in or the week to come, you can put items in this 'Later' bucket and give it a specific date you'd like it to come back.
You can drag items from other buckets here to push out when you plan on beginning the work on those items. When you add those items in the Later bucket, a module will appear that allows you to choose the date that you wish to begin the work.
You can add items to this bucket in one of two ways:
1. Drag and drop it from another bucket, such as 'This Week', 'Next Week', 'To Plan' or 'Cleared'.
2. While in the work item you'd like to add to the 'Later' bucket, choose the date you'd like it to come into your 'This Week' view by choosing the date options given.
For work items and the associated tasks assigned to you, you will need to navigate to the work item > open the details tab > scroll to the Work Team > click on the text below Planned Week. This will open up a module that allows you to choose the dates you'd like it to move from 'Later' to 'This Week'
A work item can be planned up to three months out, anything more than that can remain in 'To Plan' until you're ready.
Keep in mind emails and notes can only be planned in the current week that you're in. If you would like to move them into the 'Next Week' or 'Later' buckets you will need to do this in the 'My Week' feature.
To Plan
This bucket contains Work Items generated by a Repeating Schedule when the "Don't Add Planned Week" option is selected in Resource Planning under the Repeat Settings. Here, you can determine when you want to schedule these Work Items by moving them into 'This Week', 'Next Week', 'Later', or 'Cleared'.
Similar to the 'This Week' and 'Later' buckets, you can filter items in this view to quickly locate the Work Item you need. Then, use the drag-and-drop functionality to place it into the appropriate bucket to plan when you will work on it.
Cleared
This is where all items you’ve completed in My Week will appear, organized by the date of completion.
If circumstances change for items in 'Cleared', the card will be moved back to the 'This Week' bucket and bolded to indicate it's a new item requiring attention.
The following actions will trigger this movement:
You become the work assignee of a card in 'Cleared'.
Your tasks are marked uncompleted.
You are assigned a new task, including via automators.
Any new activity (comment or reply) on an email or note.
Please keep in mind, placing items in the 'Cleared' bucket within My Week does not automatically update the actual item. You will still need to navigate to the specific Work Item or task and mark it as complete there.
Calendar
Connect your email provider's calendar to Karbon to view and plan your day directly within Karbon.
Connecting your Calendar
Navigate to your My Week.
Click the button to connect your calendar. The button text will vary:
Gmail: "Sign In With Google"
Office 365: "Connect Calendar"
Follow the on-screen authorization process, granting Karbon permission to integrate with your calendar. This process is similar to the initial sign-in when you first joined Karbon.
Viewing your Calendar
Once connected, your existing calendar events will immediately be visible within My Week.
By default, the calendar will display the current day's view. You can switch between three viewing options:
Day: Provides an hourly breakdown of your schedule, allowing you to see available time slots for further planning. You can also drag and drop items from My Week onto the Day view to block out specific time.
Schedule: Displays a list of your events for the day, along with the number of items on your My Week list for that day.
Week: Shows a visual overview of your week, highlighting blocks of free time. Click on a specific date to navigate to that day's view.
Blocking out time from My Week
You can easily block out time in your Calendar from My Week to schedule your work. This action will also reflect in your connected email provider's calendar, ensuring your team is aware of your availability.
To block out time:
Drag and drop the Work Item, email, or note you want to schedule onto your preferred time slot in the calendar.
By default, a dragged item will create a 30-minute calendar event. You can adjust the duration and date of the event as needed by clicking on the created calendar event.
When you create a calendar event from a Work Item, you can easily access more details:
Click on the created event in the calendar to open the event details modal.
Under the Work field, click on the Work Item name. This will open the Work Overlay, where you can quickly begin working on the item or navigate to the full Work Item details.
Visibility
When you block out time in your Calendar from My Week, you have control over the visibility of that event on your connected email provider's calendar.
By default, items dragged from My Week to your calendar will be set to Visible. This means that if the original item (Work Item, note, or email) is public within Karbon, it will appear with its title on your email inbox's calendar.
However, if you drag an item that is private, hidden, or not visible to other users in Karbon (for example, an email that is not on a public timeline), the corresponding calendar event in Karbon will be set to Hidden. Hidden events will appear as "Busy" on your colleagues' view of your email provider's calendar, ensuring the privacy of the underlying Karbon item.
You can adjust the visibility of a calendar event when you create it in the calendar event details modal, use the visibility drop-down menu to select your preferred setting (Visible or Hidden).
