Setting Up & Using Dropbox with Karbon

Learn how to connect and use Dropbox with Karbon for seamless file management and sharing.

Connecting your Dropbox account to Karbon allows you to manage all files related to work items or contacts directly from a central location. You can also seamlessly copy files between Karbon and your Dropbox.

Steps to Connect Your Dropbox Account:

  1. Open Settings: From the main menu, navigate to Settings.

  2. Select Document Storage: Under the settings, choose Document Storage.

  3. Connect to Dropbox: Click on Dropbox and follow the prompts to connect your account.

Note: The Dropbox integration is built for Dropbox Business - Standard & Advanced Plans (not the Business Professional or Personal plans). The user connecting Karbon to DropBox will need to be an admin user in the Document Management System.

Login Required: After the connection is set up, each team member needs to log in to their Dropbox account from their Profile Page (your name off of the Main Menu) in Karbon.


Connecting Folders to a Work Item

Once your Dropbox account is connected, you can link Dropbox folders directly to work items in Karbon.

Steps to Connect Folders to a Work Item:

  1. Navigate to the Documents Tab: Open a work item and go to the Documents tab.

  2. Click Connect Folder: In the Connect Folder section, click on the Connect Folder button. This will open the folder selector modal.

  3. Select Folder: Browse your Dropbox, and select the folder you want to connect to the work item. Click Connect to finalize.

Once your connected folder is selected, you will be given the option to automatically copy files from Karbon storage into the connected folder. Sources of these files include:

  • eSignature

  • Approvals

  • Client Requests

  • Attachments from the work timeline.


Connecting Folders to a Contact

You can also link individual folders to contacts in Karbon, although auto-copy is not available for contacts.

Steps to Connect Folders to a Contact:

  1. Navigate to the Documents Tab: Go to the Documents tab for an organization, client, or client group.

  2. Click Connect Folder: In the Connect Folder section, click the Connect Folder button.

  3. Select Folder: Browse your Dropbox, and select the folder you wish to connect to the contact. Click Connect.


Uploading Files into a Connected Folder

You can manually upload documents to your connected Dropbox folder through the Upload button or by dragging and dropping files from your computer. These documents will be stored within the selected Dropbox folder.


Renaming Files in a Connected Folder

To rename a file in a connected folder:

  1. Click on the Options Menu next to the file in Karbon.

  2. Select Rename.

  3. Enter the new file name and save.

Changes will be reflected in the connected Dropbox storage.


Downloading Files from a Connected Folder

You can download files from a connected folder using the options menu in Karbon.

Note: Currently, you can only download one file at a time.


Auto-Creating New Folders for Repeating Work Items

You can set up Karbon to automatically create folders for repeating work items in Dropbox when tasks and budgets are created.

Steps to Set Up Automatic Folder Creation:

  1. Go to the Work Item's Repeat Settings.

  2. Scroll down to the Connected Folder section.

  3. Connect Folder to the repeat work item.

  4. Add a placeholder (e.g., Due Date or Start Date).

This setup will automatically create folders in Dropbox for any future work items as they are scheduled.

Best Practice Tip: If folders aren't automatically created, check your naming conventions. Special characters like + or & may cause issues.


Sharing a Folder or File Link from Dropbox in Karbon

You can easily share a folder or file link from Dropbox while writing an email or note in Karbon.

Steps to Share Files:

  1. While composing an email or note in Karbon, click on the Attachment button.

  2. Select Dropbox.

  3. Browse and select the file you want to share.

Important: The permission setup in DropBox applies to any user trying to access the link. If the user doesn’t have access, they will be shown a screen where they can request access.
