This article will guide you through the process of setting up a flexible and automated extension workflow within your Karbon templates. This allows you to streamline the handling of tax extensions, ensuring tasks are visible only when needed and deadlines are adjusted automatically.
Prerequisites
Access to Karbon templates.
Understanding of Karbon sections and tasks.
Familiarity with Karbon automators.
Steps
Step 1: Set up Extension Sections in Templates
Navigate to Templates from the left-hand navigation bar.
Open the template where you want to add the extension workflow.
Create new sections that specifically relate to extension processing. For example, you might have a section for "Extension Preparation" and another for "Extension Filing."
Step 2: Turn Extension Sections Inactive
To ensure extension tasks are invisible until needed, you'll initially deactivate the extension sections.
Within your template, navigate to the sections you created in Step 1 (e.g., "Sections with Extension Tasks").
Click the triple dots (More Actions menu) next to the section name.
Select Deactivate Section.
Add Automator to Activate Extension Section
This automator will automatically activate the extension section when an extension is Required.
In the deactivated extension section, click the triple dots (More Actions menu).
Select Add Automator.
Configure the automator:
Trigger: Set the trigger to something like "When Extension is Required."
Action: Set the action to "Set active state of this section to be active."
Add Automator to Change Extension to Filed
This automator will automatically update the Extension status to Filed once all filing tasks are complete.
Navigate to the section containing your extension filing tasks (e.g., "Section with Filing Tasks").
Click the triple dots (More Actions menu) next to the section name.
Select Add Automator.
Configure the automator:
Trigger: Set the trigger to "When all tasks in this section are completed."
Action: Set the action to "Set Extension to Filed."
Add Automator to Push Back Deadlines/Due Dates
This automator will automatically adjust deadlines and due dates once the Extension is Filed.
Navigate to the last section with extension tasks (or the relevant section where dates need to be adjusted).
Click the options menu (...) next to the section name.
Select Add Automator.
Configure the automator:
Trigger: Set the trigger to "When Extension is Filed."
Action: Set the action to "Set deadline dates to move by 6 months from current date."
Alternatively, set the due dates to move back from the current date based on your firm's Standard Operating Procedures (SOPs).
When Work is Created from These Templates
Once you create Work Items based on these templates:
Extension tasks are invisible until needed.
If an extension becomes necessary, the relevant section is activated automatically.
After ticking off the task to file returns, the Extension changes to Filed automatically.
Once the Extension is marked as Filed, all dates will be pushed back accordingly.
