When integrating Karbon with QuickBooks Online, it’s important to note that Karbon can only sync contacts created or updated after the integration is set up. This means that existing contacts cannot be transferred automatically in bulk. Instead, you will need to make small updates to each contact for them to sync, which can be time-consuming if you have many contacts.
To efficiently transfer all your contacts, we recommend performing a bulk import directly into QuickBooks Online Accountants. Follow the steps below to ensure a smooth process.
Navigate to the Contacts section off of the Main Menu in Karbon
Select the Cloud Icon on the upper right corner of the screen
Choose Export All Contacts
Sign in to QuickBooks.
Select Settings ⚙, then choose Import Data.
Choose Customers or Vendors, depending on what you're importing.
Select Browse to upload the file from your computer or, if you're using Google Sheets, select Connect to sign in to your Google account and choose your file.
Click Next.
In the Your Field column, match your fields to the corresponding QuickBooks Online fields using the ▼ icon.
If you have a field with no matching column in your spreadsheet, select No Match.
Review your contacts and uncheck any that you don’t want to save.
If everything looks good, click Import.
Post-Import Syncing
Once your contacts are successfully imported into QuickBooks Online Accountants, you can sync your data again to ensure everything matches up correctly in Karbon.
Integration Matching Rules
When importing from QuickBooks Online Accountants to Karbon, here’s how the client match is determined:
Exact Match: If both name and email match exactly, the contact will be automatically matched.
No Match: If neither name nor email matches, Karbon will create a new contact.
Partial Match: If either the name or email matches (but not both), Karbon will show the contact in the duplicate resolution screen, allowing you to select the right match or create a new contact.
