Setting Up and Using Colleague Rates in Billing

Set up and use colleague rates in Karbon Billing to manage and track time effectively for billing purposes.

Efficient billing is crucial for streamlining your workflow. With the ability to bill by staff member, you can eliminate cumbersome workarounds and avoid switching between apps. However, if you prefer, you can still choose to bill by role, task type, or custom rates.

If you have admin permissions with the ability to view dollar amounts, you can set a colleague’s billable rate by navigating to Settings > Colleagues and clicking on the colleague's name. On their profile page, specify the dollar amount under Billable Rate.

When creating an estimate for a colleague with a set colleague rate, this rate will replace the default role rate for that colleague. A colleague rate always takes precedence over default role and task type rates. However, you can still choose a custom rate for an estimate if you prefer not to use the colleague rate.

For example, if the colleague rate is set to $150 per hour, this rate will apply to the estimate.

Important: Setting a colleague rate will update the estimates in all non-completed work item budgets.

If you reassign an estimate to another colleague, the following hierarchy determines which billable rate applies:

  1. Custom rate for the estimate.

  2. Colleague rate, if no custom rate is set.

  3. Default role or task type rate, if neither a custom nor a colleague rate is set.

Please keep in mind: when reassigning an estimate with recorded time to a new colleague, only the remaining unused time or amount will be applied to the new colleague, based on the billable rate determined by the hierarchy above.
