How to Use Quick Collect to Collect Payments

Collect payments using Quick Collect. Initiate payments, track history, and auto-update invoices for overdue or upcoming payments.

Quick Collect allows you to collect payments effortlessly using your clients' saved payment details under specific conditions. This feature allows payment collection for invoices issued before a client saved their payment details. Here’s a step-by-step guide to using Quick Collect:

Steps to Find the Invoice and Initiate Payment

  1. Navigate to the Billing tab in your Karbon account.

  2. Locate the invoice for which you want to initiate payment collection.

  3. Click on the 3-dot menu next to the invoice.

  4. Click Collect Payment to initiate the transaction.

  5. A confirmation message will appear once the payment is successfully processed.

Once the payment is processed, the invoice status will automatically update to Paid in the Billing tab. This real-time update eliminates the need for manual tracking.

The user who initiated the payment will be recorded under Activities & Comments for the invoice. This provides full transparency and creates an audit trail for reference.

Key Use Cases for Quick Collect

When Quick Collect Can Be Used:

  • Collecting Payments on Past Invoices: If invoices were sent before a client added their payment details, you can manually collect payment for those invoices once the client has stored their payment method.

When Quick Collect Cannot Be Used:

  • Future invoices with auto-pay enabled: If a client has saved their payment details, any new invoices will be collected automatically on the scheduled payment date. Quick
