Contact segmentation in Karbon enables you to organize and manage client relationships with greater efficiency. By creating and saving custom views of your contact lists, you can tailor your workflows to better suit your firm’s unique needs.
Contact segmentation allows you to filter and organize contacts based on specific criteria, making it easier to manage relationships and perform bulk actions like generating work items or exporting lists.

How to Set Up and Use Segments
1. Access Contact Segments:
Go to the Contacts tab in Karbon and select the Segments option.
2. Create a New Segment:
Click the Add Segment button.
In the "Segment Name" field, enter a descriptive name for your segment.
In the "Filters" section, click Add filter.
Use the dropdown menu to select the field you want to filter by. This includes standard Karbon contact fields as well as any Custom Contact Fields your firm has set up.
Choose a matching rule (e.g., "is exactly", "includes any", "is before").
Enter or select the desired value(s) for your filter.
Example Filters include:
Client Type: Identify active clients or prospects.
Service Types: Group contacts based on services like "Tax Services" or "Bookkeeping."
Client Owner/Manager: Focus on clients managed by specific team members.
Custom Contact Fields: Filter by specific data points such as "Communication Preference" (e.g., "Email"), "Referral Source" (e.g., "Website"), or "Software Used" (e.g., "QuickBooks Online").
3. Save Your Segment:
After applying your desired filters, click the Save button.
Your segment will now be listed under the Segments section for quick access in the future.
4. Apply a Saved Segment:
Navigate to the Contacts tab and click Segments.
Click on the name of the saved segment you want to apply. The contact list will automatically update to show only the contacts that meet the segment's criteria.
Perform Bulk Actions:
Once a segment is applied, you can select all or specific contacts in the filtered list.
Click the ... (three dots) menu above the contact list to access bulk actions such as:
Export: Export the filtered list of contacts to a CSV file.
Create Work: Quickly generate work items for the selected contacts.
Advanced Filtering Options
Multiple Selection Dropdowns: When filtering fields with multiple options (including multi-select Custom Contact Fields), you can select multiple criteria to create more specific segments (e.g., clients who use either "Xero" or "MYOB").
Search by Text: Many filter options allow you to search by typing keywords to quickly find specific values.
Date & Numerical Filters: For date fields and numerical fields (including "Number" type Custom Contact Fields), you can filter by date ranges (e.g., "is within the last year") or specific numbers (e.g., "Billing Amount is greater than 1000").
Boolean Fields: For "Boolean" (Yes/No) type Custom Contact Fields, you can filter based on whether the value is true or false.
