Use colleague rates for your billing

You can now set a standard billable rate for each colleague

Billing efficiently is a vital part of your workflow. Having the flexibility to bill by a staff member means you can now avoid extra workarounds or switching between different apps to get things done the way you need. However, if you’d prefer you can still bill based on the role or task type, or by using custom rates.

If you are an admin user with the additional permission to view dollar amounts turned on, you can add a colleague’s billable rate in Settings > Colleagues by clicking on the colleague's name. On the profile page, you can then specify a dollar amount under Billable Rate.

When you proceed to add an estimate for a colleague, if they have a colleague rate set, it will be used instead of the default role rate for that colleague. A colleague rate will always override the default role and task type rate. However, you still have the option to choose a customised rate if you do not want to use the colleague rate for an estimate.

In the below Estimate example, the colleague rate is set to $150 per hour.

Important: When you set a colleague rate, it will update the estimates in all non-completed work item's budgets.

If you reassign an estimate to another colleague on a work item, as there are three possible billable rate settings available, the following hierarchy will determine which billable rate is used:

  1. If there is a custom rate set for that estimate, this will be used first.

  2. If there is no custom rate, but there is a colleague rate set, this will be used.

  3. If there is no custom rate or colleague rate, it will default to the rate based on the role or task type used for the estimate.

Please note: If you reassign an estimate from one colleague to another, which has time recorded against it, only the remaining unused time or amount will be assigned to the new colleague based on the billable rate determined by the above hierarchy.
